PDF invoice or structured e-invoice: what businesses need to distinguish

What a conventional PDF invoice does

A PDF preserves a readable invoice layout and can be stored, printed and reviewed. It can display all required business information, but an ordinary PDF does not automatically expose those details as structured accounting data.

What a structured e-invoice means

Formats such as XRechnung or suitable ZUGFeRD profiles can provide invoice data according to defined structures. The required format, transition period and exceptions depend on the transaction and applicable rules.

A practical check before sending

Review supplier and customer identity, addresses, invoice number, dates, supply details, amounts, tax treatment, due date and payment instructions. Specialist tax cases require qualified advice.
